    Draft Minutes of the Saturday, October 5, 2008 Annual Convention
of the Universalist Convention of North Carolina, Inc.(UCONCI)
held at the Unitarian Unniversalist Congregation of Greenville

Attendance
    Present for the meeting were:

Quorum
With seven of nine board members present, the Vice  President called the meeting  to order at 3 pm. Absent were Trustees Doug Hayes and Charlie West.

Minutes
Billy submitted board minutes for the past year. No corrections to the minutes were made. Minutes were approved as presented.

Report’s from officers
Treasurer’s Report
    Andy passed out copies of the Treasurer’s report. He expressed the opinion that our finances are not as bad as they could be considering the condition of the economy. Andy noted that we had closed the Self-Help Credit Union account and moved those funds to checking. Total expenditures for the year were $18,836.75, much of which was for the history book.  (see Appendix A)

Pete asked for a  more detailed list of expenditures. Andy said he will try to provide one.

Pete pointed out that we are paying for phone service at Shelter Neck Camp when the line in fact needs repair. Andy will try to meet phone co. during shut down of the camp.

    UCONCI has received dues from only three members cong. We need to re-send letters to other cong. Billy will send paper letters to Congregations , reminding  those who have not paid to  please send dues monies.
    It was moved and and seconded to accept the treasurers report. The motion passed.

Pete Leary presented a  letter to the treasurer stating that legal publishing rights to the history book belong to UCONCI.

President’s report
    The UCONCI board hosted a successful cluster meeting. Bryan felt that a cluster meeting  goes better at a church than at Shelter Neck. Hopefully, New Bern fellowship will host next years cluster.

    Brian felt that the Board has been stretched thin by SN needs. We’re all working  harder in our personal and professional lives and at SN to stay in the same place. Working with the cluster meeting is where UCONCI will continue to be of service to our churches and our denomination.


Reports from Congregations
OBUC     -- Ann read a written report. Here are some excerpts:
“Our two main projects for the coming year will be to find a new minister and to complete the window repairs to the front of the church.”
“Our programs continue to be numerous and active . . . Sunday School  . .  . children’s RE classes . . . the Saving Jesus Program . . . a small but actibve woman’s group . . . hosting ESL classes . . .  state roadside pickup . . . frequent movie nights and numerous field trips.”
“We look forward and enjoy seeing you at the annuyal UCONCI Love Feast to be held on December 14. 2008 at the church. Supper begins at 5:30 pm and Candle lighting service at 6:30.”

    UUCG reported verbally. They have called  and installed  a new full time minister, become a welcoming congregation, and added a new accessibility ramp, a new heating system, and a new sign. They ran a successful “Harry Potter” summer camp which attracted members of the community at large. RE sessions included “Cakes For the Queen of Heaven” and a ten part pilot for the UUA, called “Spirit in Practice”. Youth RE includes active teens, two groups of tweens, as well as preschool and nursery programs. A large group from the congregation  participated in the local CROP walk, a CUUPS group has been formed, and the block the building is on was “adopted” for cleanup of litter. A balanced budget has been passed, Fifth Sunday collections are donated to various causes, and “Fair Share” was achieved with the UUA and the TJD.
Mary Brown, a teen at UUCG wants to plant bulbs around SN gazebo as a Girl Scout project. It was agreed  that she would present a proposal to the board that includes some “hard” borders to protect the planting from being mowed.

    UUFR gave a verbal report. The congregaion is in a “year of experimentation” to make a transition to a model where more day-to-day decisions are made by staff. The size of the board of trustees has been reduced, and some administrative committees have been eliminated or reduced to advisory roles. Eric Kaminetsky has been hired to develop a new early Sunday morning IG. “Second Sunday Soulful Sundown” continues to be a popular monthly evening lay-led service. The Denomination Affairs Committee has a recruitment drive and increased the “Chalice Lighters” and the Fellowship from 75 to 101, which will result in an extra thousand dollars yearly donated to selected projects of the TJD.

    At Eno River UU Felloship, Kate Beasley, the DRE has resigned  to pursue further education. They need to hire an interim. There has now been complete turnover in staff since the new minister was called last year.

Shelter Neck Report
    Robert has cleaned up tree limbs from ground from some previous trimming. A large sycamore tree has dropped some limbs on the rear of part of Williams Hall roof.  Plumbing  repairs are needed in Dix water supply lines. Robert S pointed out that we might be required to leave the well switched on for fire and hazard insurance purposes. Andy will check our insurance policy for such a requirement.
Nine church events and two weddings were held at SN in the last year. There was room on the schedule more. We received many positive comments regarding  the cleanliness of the facility and the availability of basic supplies. We received  more money in rentals than in any previous year.  
    Volunteers will shut down and winterize the camp on the weekend of November 1.
    We spoke of possibly opening the camp during the last two weekends of March, 2009, depending on weather forecasts.
    The Chapel Hill Church wants to rent the camp for the last two weekends in April. The Family Fellowship group of UUFR wants one of other two weekends in April.
    
    It was agreed  that if a member church (hopefully Greenville) sponsors an IG weekend, the UCONCI will waive the normal rental fee. Fees per camper would still apply. UCONCI will help publicize the event by having it announced in all member churches.

Next Annual Meeting
    Pete offered to have UUFR host the next annual meeting on Oct. 24, 2009. A Motion made and passed to accept Pete’s offer..

    Billy will contact Annette Marquis, TJD District Executive to express gratitude for quality of leadership she has provided and for the quality of workshops such as those at  the District Leadership Meeting  on Saturday, October 9.

Election of officers and trustees
    The following officers were elected for the 2009 term:

    The following trustees were elected for terms that expire in 2011:

    Pete Leary (UUFR)

The following trustees will continue to serve terms that expire in 2009:
    Carol Simmons (OBUC)
    Ann Malpass (OBUC)

The meeting adjourned at  4:30 pm.
